Working as a key team member on the marketing team and on behalf of internal clients, the Sr. Marketing Coordinator is responsible for overseeing the creation and maintenance of marketing data and materials, as well as assisting the Client Relations process. They are also responsible for training, assisting, and mentoring the Marketing Coordinators and Assistants. They begin to focus on a corporate initiative that benefits the firm as a whole and dedicates a portion of their time to this initiative.  

The position is responsible for organization of local marketing processes and deadlines, materials and workflows, ownership of local marketing events and relationships, and assists in company-wide organization of department tools and information.

 Duties and Responsibilities:

Corporate Standards:

  • Act as point of contact for Marketing Coordinators/Assistants regarding all corporate standards
  • Incorporate RO’s companywide branding initiatives into all materials
  • Ensure consistent, updated appearance and style for all marketing collateral
  • Implement best practices, style guides, and templates as prescribed by Marketing Manager and Director of Marketing
  • Ensure RO’s image remains consistent and fresh to target audiences
  • Utilize library of standard graphic elements (logos, fonts, etc.)  

Material Creation and Utilization:

  • Act as point of contact for Marketing Coordinators/Assistants in regards to material creation and utilization; brainstorm and implement new techniques for materials
  • Create basic graphic/written materials needed for various marketing packages; have reviewed by Marketing Manager
  • Review Marketing Coordinator/Assistant packages for consistency and accuracy
  • Manage deadlines of multiple RFPs/RFQs and ensure consistency with company branding initiatives
  • Submit requests for aid in larger graphic/written materials from Marketing Manager
  • Assist in identifying overall material creation needs
  • Manage production efforts of local collateral
  • Work with the business development and operations teams to organize, and execute client presentations
  • Manage marketing materials in local office(s) such as binding, printing, and collateral materials
  • Create communications and collateral for internal employee information/events
  • Create client testimonials for use in marketing materials 

External Exposure:

  •  Organize and execute various client and external events, such as happy hours, event sponsorships, and philanthropy endeavors
  • Complete award submissions for trade publications and oversee review and delivery; assist Marketing Coordinators/Assistants on award submissions
  • Ensure accuracy of site signage
  • Work with the Communications team to complete and distribute press releases to the local market
  • Participate in external events/organizations as a representative of RO 

Product/Information Management:

  • Maintain stock of promotional items; work with RO’s ordering system to brainstorm new items, price out, and reorder when necessary
  • Manage/request aid for one-off promotional materials for corporate events and tradeshows/career fairs
  • Utilize CRM software (Cosential) in preparation of proposals and to track/maintain project information
  • Act as resource to other Marketing staff 

Skills, Knowledge, Qualifications, and Experience:

  • 4-7 years’ experience in a similar high-volume environment, preferably in the AEC industry
  • Basic understanding of the AEC industry, preferably with understanding of construction processes
  • Preferred (4) year degree in a marketing/communications curriculum
  • Must be proficient in Microsoft Office software: Word, Excel, PowerPoint
  • Must be proficient in Adobe Creative Suite: InDesign
  • Preferred to be proficient in Adobe Creative Suites: Photoshop, Illustrator
  • Strong written and verbal skills
  • Strong people engagement and management skills 

Physical Demands:

  • Occasional travel to other offices: (Austin, Dallas, Houston, San Antonio)
  • Occasional travel to project sites
  • Occasional travel to marketing related events, such as annual meetings, tradeshows, industry events, etc. after normal business hours
  • Must be able to lift up to 20 lbs. 

Environmental/Working Conditions: 

  • 95% office environment
  • 5% field environment
