Executive Assistant

Working closely with RO’s C-Suite, you’ll have the opportunity to support our leaders while enabling them to be efficient and productive. You will provide high-level executive and administrative support to the CEO, CFO and CIO. You’ll have a cross-functional impact on our company by influencing, implementing, and delivering consistently reliable service with the goal of increasing executive productivity and efficiency. Blending your high degree of emotional intelligence, strong communication skills, innate ability to multitask with acute attention to detail, you will be an important catalyst to enabling our rapid growth through operational efficiency. You are an organized analytical thinker with a keen eye for detail with the ability to see the bigger picture and has a passion for creative design. 

What You’ll Do:

  • Manage complex executive calendars, administrative needs, and travel (domestic) itineraries strategically and proactively
  • Deliver executive-level communications to internal and external stakeholders, including employees, customers, or industry contacts
  • Ensure the executives are prepared for meetings & events
  • Manage the administration and execution of select meetings including all logistics and the development of agendas and presentations and taking adequate notes
  • Understand and execute on necessary post-meeting follow-ups with internal and external stakeholders – Follow up with executive team ensuring they complete all items on time
  • Own the end-to-end cycle of expense report processing for the CEO, CFO, and CIO
  • Conduct research and/or manage projects as needed
  • Anticipate needs and changes, then react with independent/sound judgment and appropriate level of urgency
  • Develop and maintain effective business relationships with a high degree of professionalism
  • Understand and retain new information quickly
  • Develop and sustain an understanding of the company’s operations, policies, and procedures
  • Work with sensitive and confidential information with integrity
  • See projects and tasks through to completion with minimal input from executive team
  • Create and design engaging presentations with special attention to Graphic Design
  • Ability to quickly learn to use new software and technology as needed
  • Collaborate with other department heads as needed
  • Participate in administrative coverage program as needed – Occasionally covering Receptionist lunch break
  • Occasional travel (5% - 10%) may be required (day trips and/or one-night stays)
